Deposit money collected, and what's still owed

The deposits report shows what you've collected in deposits, what's still outstanding, and what you've kept from no-shows and late cancellations — rolled up by day, so you can see the full picture at a glance.

What this shows you

Each row is one day in your selected range that had deposit activity — a deposit collected, a balance left outstanding, or a deposit kept from a no-show or late cancellation. Days with no activity don't get a row.

If a client paid in full, it won't show up here at all — check the Appointment report for that.

What each column means

  • Date is the day the numbers below are rolled up for.
  • Deposits Collected is what clients paid that day on bookings with an open balance.
  • Balance Outstanding is what's left to collect at checkout on those same bookings.
  • Forfeited is what you kept that day from no-shows and late cancellations.
  • Total Appointments is how many bookings that day's numbers are made up of.

Where to find individual bookings

This page is a daily overview, not a booking-by-booking list. To see the individual appointments behind a day's numbers:

  • Export to CSV — the file includes the same day-by-day overview, followed by every individual booking underneath.
  • Appointment report — every booking, filterable by date, with its payment status.

Is this revenue?

No — this report tracks cash, not income, and none of it is counted in Total Gross Sales:

  • Forfeited deposits are money you keep, not a sale. When you keep a deposit from a no-show or a late cancellation under your cancellation policy, that's real cash — but it isn't income from a service or product, so it's tracked here only, not folded into Gross Sales.
  • Open deposits and balance due aren't income yet either. A deposit collected on a booking that hasn't happened yet — or the balance still owed on one — is the same appointment's price, just showing you what's been paid so far and what's left to collect once the appointment is completed.

That's also why the two reports never show matching totals for the same date range: Total Gross Sales counts completed work at full price; this report tracks deposits, balances, and forfeitures on bookings regardless of whether they've happened yet. Neither number is wrong — they're answering different questions.

Narrow it down

Use the filters at the top to focus what's rolled up:

  • Filter by location if you run more than one.
  • Filter by date range.

Tip: Use Export to CSV to keep a full record of a period, share it with your accountant, or see every individual booking behind the daily totals.

A note on payouts: SalonGrid never holds your money. Deposits and full payments go straight to your own connected Stripe, Paystack or Flutterwave account, so this report tracks what's collected and what's still owed, not when it lands in your bank. For payout timing, check your payment provider's own dashboard.
